Team Secretary (Maternity Leave Cover) - CBRE - London





The purpose of this role is to provide secretarial and administrative support to the International Valuations Team on a daily basis to ensure that their needs and the clients’ needs are met at all times. From time to time they may be required to assist other members of the sector and wider department.

The role will be to assist in looking after a team of 22; varying from assistant surveyors to executive directors. This is an excellent opportunity for someone who is looking for a role where they will be able to develop and to really get involved with the business.


Key Responsibilities


  • Working with 1 other team assistant supporting the international team in valuations Formatting Valuation reports using Word, Excel, PowerPoint, PDF, including merging of documents.

  • Binding of Presentations/projects for the international team

  • Booking / amending international flights / Hotels and putting flight itineraries together for the team

  • PIWA compliance checks (Visas and Passports)

  • Prepare reports for the team, plan and schedule team meetings

  • Writing up the minutes from meetings as requested

  • Order and maintain office supplies

  • Dealing with a lot of adhoc work

  • Learning the role of the other team assistant to cover work when away

  • Take up responsibility for Anti-Money Laundering requirements for new clients

  • Setting up IT sites, such as Cyprus Share Point Sites for clients

  • Setting up projects which includes: filling out all the online forms, entering data on the internal systems, archiving project files,

  • General Admin duties: Expenses, Typing, Diary management for the senior members of staff, handling external and internal telephone calls, note taking

  • Working in a fast paced environment

  • Preparation and collation of reports

  • Collecting market material data

  • Setting up of files/ file maintenance

Person Specification/Requirements


  • Good interpersonal skills.

  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met.

  • Maintains a positive attitude towards routine tasks.

  • Accurate and exceptional attention to detail.

  • Pro-active and enjoys working autonomously and as part of a wider team.

  • Confident and assertive where required.

  • Flexible approach to work.

  • Understands and appreciates the importance of using discretion.

  • Team player who deals effectively with colleagues and clients.

  • Minimum typing speed of 50 wpm.

  • Good IT skills (Word, Excel, MS Outlook).

  • A good standard of education.

  • Good communication skills, both verbally and in writing.
